View a (video) of Kath Latch, station manager dicuws this process IN order to run a analysis of a system the first step must be to idefnitify the sources of information that will provide views on the running of the current system. THis will include the users of the information the system produces, users of the actual system and people who support the system. Each of the groups will provide into that contributes to the construction of an overall picture of the running of the system. In each of the broad groups idenitifed above, there will be diffrent categories or subgroups within it. It is important important that input is recieved from all of those parties so that a well-balanced overall view of the system can be developted. In order to perform an analysis of a system a number of people must be consulted of the information the system produces, users of the actual system and people who support them when performning an anayalsis of the current system, the view of the users of the system are parmount in successfully recognising the strenght and idenfying weaknesses present. The first task of the analysit will be to identify who they need to consult to find out about the current system.In doing this, they will need to identify the following users of the system: those who provide data, those who input data, those minpulate the data and those who recieve data. As well as those who own or run the organization for they will also have ideas as to what the systemis doing what it can be doing or what it should be doing. The analysis phase identification and description of the types of information needed to analayse the system,”having idenfitied the sources of information, the next step the analysis must take is to establish what information can be gained from them, The information which can be gained from them. THe infromation which can be gained from the manager will be diffrent from the customers and so on. The analuyst must decide what information should be obtained from each source identified. It is unsuaul for one use to be exlucsive source of information about the syustem most aspects of the system will have some degree of overlap- it may be that significant detail will come mainly from one source , but there will usually be other users who are also impacted and informatrion must be collected from them as well. As well as identifying who will be capable of supplying what information in this step the analayst must also make decesion about the reliability and sustainability of the sources. Information collected must be evalutated for bias and relevance and given the approrpriate weighting in the overall analysis of the system. For example, while a manager and a data clerk would both have opinions on the usefullness of the financial reports produced by a particuylar system, the maqnagers opinion would have more weighing, but conversely the data clerks opinionhas more significance in areas relting to the case of data entry. Sometimes the analyst will idenfitfy the need for other information in order for fully analyse the system. In this case, they would need to document where this information can be obtained

the design phase factors to be considered when desiging the output requirements,”in a top down approach to a system design, the programmer will start by idefntifiying the output that the system will need to produce. There are a number of possible output formats that must be considered including such items as printer, screen, plotter, audio, email links to webpages, autmated fax facilities, and computer output microfilm. THere are many more possible output devices that could be incorporated into any system-it will depend on the tehcnology that is available to the developers. There are sound reasons for starting the system development with the diesign of the output, The system will be implemented to help improve effectviness or to solve a problem. In order to do this the first step will be to determine what can be done to help the situation. Once this has been done, a clear picture of what has to be provided can be identided. This will shape the output requirements of the system. while the output may seem to be the last part of the system they should be developed. It should not be. In order to make the system a success it must be able to produce the outcomes that can solve the problem, therefore the output required needs to be identified early in the process. Once the output has been identified it will place constaits on the system. These constraits will include requirements of data to be collected to procude the output and to the limitations imposed by the technologies used to create the output. While it may sound minor the manner in which output is to be created and/or displayed is actually of great significance to the design of a computer system. This is becuase it can quickly change the nature of the resources that are reuqired by the system to produce the output. For example, if the system is to collect pictures that are displayed over the web then the file size will not have to be as large as those printed. SOme of those major constaits on output include:printers-print quality e.g. laser inkjet/color and the nature of the information to be produced for example if a recipt is to be printed and needs to be made in duplicate then an impact printer will need to be used or the item printed twice. Screen if the output is primarily to be screen based then the scree nwill impose a number of limitations on the output. THe output will need to be designed to fit into the screen size.
